FAQ

Questions practices actually ask

The basics

What is Atlas?

Atlas is an AI team for a dental practice. It is one product that handles the recurring work of the office: inbox triage, unscheduled treatment follow-up, recall, SOPs and training, huddle and meeting notes, supply ordering, and reporting. You talk to Atlas and it does the work.

Is Atlas one product or a collection of tools?

One product. There is one place to sign in and one thing to talk to. The agents inside it divide the work the way you would divide it among people, but you are not managing a grid of separate apps.

Do I need to be technical?

No. There is nothing to install and nothing to configure. You describe the work in plain language, the way you would explain it to a new team member.

How long does it take to get value?

The first useful output usually comes the same day, because the agents that work from documents and knowledge do not need anything connected. The practice management connection, which is Connect, takes longer to stand up and is done with you after you subscribe.

Plans

What is the difference between Core and Connect?

Every agent exists on both plans. The difference is what Atlas knows. Core works from what you give it: your documents, protocols, figures, and inbox. Connect adds the practice management connection, so the same agents work from your real schedule, production, and ledger. Same team, better information.

Are any agents locked behind the higher plan?

No. No agent is withheld to force an upgrade. A capability is closed on Core only when it needs practice data to do its job at all. The full comparison is published on the pricing page.

Can Atlas book an appointment on Core?

No. On Core the agent triages the inbox and drafts replies, but it cannot book, move, or confirm an appointment, because it cannot see your schedule. If a patient emails asking to move Thursday, Core drafts the reply and a human moves the appointment.

Can Atlas read my production and collections on Core?

No. On Core the finance work runs on documents and figures you supply. It will build the analysis and the report from what you give it, but it cannot open your ledger.

Why is the trial only on Core?

Because standing up a practice management connection, including payer enrollment, takes longer than fourteen days. A Connect trial would expire before the product finished setting up. Practices trial the workforce on Core, then connect the practice after subscribing to Connect.

What is included, and what happens if I hit the allowance?

Both plans include 1,000 runs you start plus 300 runs on a schedule, per practice per month, across up to 10 active schedules. A run is one task reaching a finished state. If you reach an allowance, Atlas pauses that work until the next cycle rather than generating a surprise bill. A paused task is not a failed one: it is not retried, consumes no approval, and resumes automatically next month or immediately if you raise the cap. We do not reduce included allowances during a term you have paid for.

What happens when I move from Core to Connect?

The connection is added and nothing else changes. There is no migration and no rebuild. Every SOP, protocol, custom agent, and approval rule you built in Core carries over and keeps working. The connection is set up with you after you subscribe.

We have more than one location.

Core and Connect are priced for a single practice. Multi-location groups and DSOs are priced individually rather than self-serve, so contact us.

Control and data

Does Atlas contact my patients?

On Core, nothing goes to a patient at all: no text, no email, no call, no reminder. On Connect, anything that reaches a patient goes through your approval first. You decide how much authority each agent has and can stop it at any time.

Is it safe to let an agent take actions?

Agents run inside isolated, single-use workspaces with scoped access, approval gates on anything that leaves the practice, spend caps, full logging, and a kill switch. A dedicated quality review agent scores the others' work against the criteria you set.

What data does Core handle?

Core is covered by the same business associate agreement every customer signs at signup, and it works with no patient records, because there is no practice management connection on Core. No patient record reaches Atlas and no agent contacts a patient.

Is Atlas HIPAA compliant?

Yes, on both plans. Atlas is operated by Casaway Capital, LLC, the same company as Dental Document, under the same business associate agreement and the same Delve-managed security program. The security program is SOC 2 aligned. Protected patient information is isolated in a protected clinical space, reached only through controlled and monitored paths, and logged on every access. Your practice management system remains the source of truth, and Atlas runs on dedicated infrastructure rather than shared consumer cloud.

When do I sign the business associate agreement?

At signup, before any use, on either plan. Signup runs through the Dental Document process, which is where the agreement is signed. It is not an upgrade and it is not offered later. Compliance does not differ by plan; what differs is whether Atlas reaches patient data, and Connect does while Core does not.

How does the practice management connection work?

It runs through Sikka, our practice management integration, which reads your scheduling, production, ledger, and claims data and writes back the changes you approve. Your practice management system remains the source of truth. The connection is set up with you after you subscribe to Connect.

How it is built

What is Atlas actually built on?

Atlas brings together a knowledge vault (Obsidian) and a memory and planning brain (Hermes) with its own built-in operator that does the hands-on work. Atlas integrates, secures, packages, and maintains them as one practice-ready product. You only ever work with Atlas.

Why not just use ChatGPT?

Because a chat window waits for you. A general assistant is excellent once you have decided what to do and sat down to type it. The work practices never finish fails at the step before that. Atlas runs on a schedule and on triggers, remembers your practice, and can take the action rather than describing it.

Dental Document

How does Atlas relate to Dental Document?

Atlas is part of Dental Document, operated by the same company, and is sold and priced as its own product. Both halves are true. You sign up and sign in through Dental Document, which is where the business associate agreement is signed, and you get a Dental Document account as part of signing up whether or not you ever use another Dental Document app.

I already use Dental Document. What changes?

Nothing about how you reach Atlas. You can still launch it from your Hub, and you already have the account and the agreement. Atlas now also has its own site and its own plans.
